Office relocations sound exciting at first. New space, fresh energy, maybe even better amenities. But if you’ve ever gone through one as an employee, you know it can be stressful and confusing. Computers get packed away too early, people lose track of personal items and sometimes whole teams feel out of sync for weeks. A simple checklist can help employees prepare, stay organized and make sure they walk into the new office ready to get back to work.

Start with personal items

The first step is the easiest to overlook: your own stuff. Many employees have plants, photos or personal decorations on their desks. These should be packed by you, not movers. Bring in a few sturdy boxes or reusable totes. Wrap fragile items in newspaper or bubble wrap. If you have plants, decide whether they can make the trip safely or if it’s time to rehome them.

Secure your files and equipment

If you still keep paper files at your desk, label and pack them yourself. For digital equipment, check with IT before unplugging anything. Often, IT will want to pack computers, monitors and cables in a standardized way to make reassembly easier. You can help by decluttering your desktop and labeling cords. Back up your files before moving day so nothing is lost if hardware is damaged.

Label everything clearly

Most moving mistakes happen when boxes aren’t labeled. Every employee should write their name, department and new desk number (if available) on each box. Some offices use color-coded labels for different departments. That small step speeds up the unpacking process and prevents hours of hunting for missing items later.

Clean out and declutter

Moves are the best time to get rid of things that have been collecting dust. Old binders, outdated manuals or promotional swag you never use – recycle or donate what you can. The lighter your load, the smoother the move. Plus, no one wants to unpack clutter in a brand-new office.

Communicate with your team

Staying aligned with your team is just as important as packing boxes. Managers should share a timeline for what needs to be done and by when. Employees can help by asking questions early and making sure they know where to report on the first day in the new office.

Be ready for downtime

Even well-organized office moves usually come with some downtime. Plan to work offline if needed. Save important documents in advance, make sure you know how to access cloud-based files and adjust deadlines if a project falls near moving day.

After the move

These are the things that often get overlooked:

Once you’re in the new space, unpack personal items right away. Get your desk set up so you can settle back into a routine. If something is missing or damaged, report it quickly so it can be replaced. And don’t forget to update your email signature, business cards or any external materials with the new office address.
